AI School Leadership Minute: Create a Parent Conference Plan in 5 Minutes
No more spending an hour piecing together student data before a parent conference.

Use AI to get it done in 5 minutes.

Step 1: Collect Relevant Files
Gather all files that show how the student is doing. For example:
– Incident Reports
– Grade Reports
– Teacher Notes or Observations

Step 2: Anonymize the Files
Remove the student’s name from each file. Replace it with “John Doe” or another fake name to protect student privacy. (Here is our full guide to data privacy with AI.)

Step 3: Open ChatGPT and Upload the Files
Open ChatGPT and click the paperclip icon in the bottom left corner of the ChatGPT prompt bar to upload all the files.

Step 4: Use This Prompt
Use this prompt with the files you uploaded in step 3: “Act as a school principal preparing for a parent conference about a struggling student. Review all the uploaded documents. Create a comprehensive conference plan that includes: 1) A clear summary of concerns organized by category (academic, behavioral, social), 2) Specific examples with dates and details, 3) Strengths to highlight about the student, 4) 3–5 concrete action steps we can take together, 5) Talking points that are supportive but honest, 6) Follow-up timeline and next meeting date suggestion. Make this ready for me to use during the actual conference.”

Step 5: Review and Print
ChatGPT will give you a full conference plan. Review it to make sure it is exactly what you are looking for. Make tweaks where it is necessary.
