Gruvy Education Update & Streamlining Document Creation with ChatGPT

This newsletter will show you how to speed up document creation with ChatGPT.
At the end, you will find a Gruvy Education update, as last week I graduated from North Dakota State University.
First, let’s learn how to use ChatGPT to do the following:
Create a Tornado Emergency Procedure Document
Create a Media Inquiries Guidelines Document
Create a Staff Meeting Notes Template
Each section includes multiple practical use cases. They are very likely to be useful for you.
Creating a Tornado Emergency Procedure Document
You can use a prompt like this inside of ChatGPT to create a tornado emergency procedure document:
“Act as a school safety coordinator. Develop a template for a tornado emergency procedures guide. This guide is for teachers to use during a tornado threat. It should include step-by-step instructions for securing the classroom, moving students to designated safe areas, accounting for all students, and communicating with school administration. Format the guide in sections with clear headings for each step, bullet points for actionable instructions, and include spots where I can insert maps showing the routes to safe areas. Include as much detial as you can, I will fill out the rest.”
The template it gives you would then have to be copied and pasted into a document for editing.
If you are a ChatGPT-4 user, you can use this follow-up prompt to actually create the document:
“Okay now put the contents of that guide into a word document I can download. Make sure the document is styled in an aesthetically pleasing way.”

Creating a Media Inquiries Guidelines Document
Here is a prompt you can use to create a media inquiry guidelines document. This prompt creates one for a crisis situation:
“Act as a school communications officer. Draft guidelines for handling media inquiries following significant damage to school property. The guidelines should detail how to communicate about the extent of the damage, the impact on school operations, and the steps being taken for repair and recovery. Include information on how to maintain transparency while ensuring the ongoing investigation's integrity and security measures are respected. Organize the guidelines into sections, including a brief overview, key points to communicate, designated spokespeople, and answers to frequently asked questions the media may ask. Only include information you have knowledge of, leave spots for me to fill the correct information.”

The prompt even had ChatGPT outline answers to frequently asked questions. You can use this use case in many situations. For example:
“Act as a school principal and generate thoughtful responses to difficult questions about supporting the school community after the loss of a student. Use a trauma-informed approach to provide guidance for students, staff, and families. Include sample questions and answers, and consider additional questions that may not be immediately obvious.”
Creating a Staff Meeting Notes Template
You can use this prompt to make a template for documenting staff meeting discussions:
“Act as a school administrator responsible for documentation. Create a template for taking notes during staff meetings. The template should include sections for the meeting date, attendees, agenda items, discussion points, decisions made, additional notes, and action items with assigned responsibilities. Present the template in an organized layout with headings for each section and bullet points for action items.”

Meeting notes can be used to draft an email to send to staff. This could be done with a prompt like this:
Act as a school administrator. Take the following notes from a recent staff meeting agenda and draft an email outlining the action items and who they are assigned to. Also include a summary of the meeting and anything else that may be important from the notes: [insert filled out template].
Meeting notes can also help with situations like this:
Act as a school administrator. Review the notes from a recent staff meeting and suggest strategies to positively influence staff attitudes regarding the discussed issue: [insert filled out template]. List the strategies in bullet points.
Gruvy Education Update
Last week I officially graduated from NDSU with my undergrad in Computer Science. This is an exciting time as I can pour 100% of my time into Gruvy Education. (Some of you may know I was in an accelerated master’s program. Given the business’s growth, I will be suspending the final 2 semesters I have left of grad school.)
Over the summer, I hope to create a way to continuously support schools with AI. It will go beyond one-and-done training.
To make this as helpful as possible for you, I hope to gather your input. In the coming weeks, I will be sending out a newsletter where you will be able to tell me exactly how I can help your school. I want to ensure that what is created is immensely helpful and a no-brainer to bring in.
