GPT-4o's Full Potential for School Admins

When you log onto ChatGPT, you now automatically use their new model, GPT-4o. It lets you create datasets, analyze data, and create Word documents. Here is how you can do each of those:

Create Datasets
Use ChatGPT to create an Excel file tracking staff attendance. Here is how:

  1. Open ChatGPT.

  2. Send this prompt: "Generate an Excel file with 20 staff members, tracking attendance for each day of the month."

  3. Done! (It is that easy.)

You can do this for many different use cases:

  • Organize event schedules: "Generate an Excel file with 12 events, detailing dates, times, and locations."

  • Manage inventory: "Generate an Excel file listing 50 items, tracking inventory levels and restock dates."

  • Monitor teacher performance: "Generate an Excel file with 10 teachers, tracking performance metrics for each month."

  • Student attendance: "Generate an Excel file with 30 students, tracking attendance for each day of the semester."

Analyze Data
Use ChatGPT to analyze data. Here is how:

  1. Create a dataset or use this one: Student attendance data.

  2. Open ChatGPT.

  3. Attach a file to the prompt using the paper clip button.

  4. Send this prompt with the attached file: "Find patterns or correlations between attendance rates and categories of absences."

You can do this for many different use cases:

  • Identify trends in student grades: "Analyze this dataset of student grades to find trends and patterns." (Remember to take out any student PII from the dataset.)

  • Analyze teacher performance data: "Examine this teacher performance data to identify strengths and areas for improvement."

  • Track inventory levels and restock dates: "Review this inventory dataset to track levels and determine restock dates."

  • Review event attendance and feedback: "Analyze this event attendance data to find patterns and correlations with feedback."

Create Word documents
Use ChatGPT to create Word documents. Here is how:

  1. Open ChatGPT.

  2. Send this prompt: "Create a styled Word document template for a staff meeting agenda."

You can do this for many different use cases:

  • Staff performance reviews: "Create a Word document template for staff performance review reports."

  • Event planning: "Create a Word document template for planning school events."

  • Administrative reports: "Create a Word document template for monthly administrative reports."

  • Permission slips: "Create a Word document template for a field trip permission slip."

Note: All prompts used above were short and lacked context. Treat ChatGPT like an intern. Provide more context and direction for better output. To learn more about prompt design, click here.

Another note: The top mistake people make is stopping at one prompt. If you don't like the first output, ask ChatGPT to redo it the way you want.

Using ChatGPT on your phone helps because you can talk instead of type. On the app store, many apps claim to be the official ChatGPT app. Only download the ChatGPT app created by OpenAI. Here is the direct link to the correct app:
