AI School Leadership Minute: Turn Discipline Notes into a Report + Parent Email
It’s the end of the school year. Everyone needs you in 100 different spots all at once.
Then a student incident happens.
You pause everything. You meet with the student. You collect the details. And now, you still have to document it, craft a parent email, etc.
Here’s how to do all of that with one prompt using AI:
After a student incident, jot down quick notes: what happened, who witnessed it, what actions you took, and so on.
Important: Do not include real student names. Use labels like “Student 1,” “Student 2,” instead.
Then, enter this prompt in ChatGPT:
"Act as a school principal. Summarize the following incident notes into a formal incident report. Then, draft a respectful email to the parent about the situation. Lastly, give me talking points for the student follow-up. Keep everything extremely clear and professional. Here are the notes: [paste the notes here]."
You’ll get:
1) A formal incident report for your records
2) A clear, respectful email to the parent
3) Talking points for your student follow-up
Data Privacy Reminder:
Make sure your notes don’t include any student names or personally identifiable information that could identify a student. Here is Gruvy Education’s full guide to student data privacy with AI.
