Stop doing busy work. Here is the exact process you should use to put together step-by-step directions or a standard operating procedure:
Step 1: Open Zoom (or Google Meet) and start a new meeting where you are the only participant. Start recording the session. Perform the task while explaining each step clearly aloud. (Like you were teaching it to someone.) End the recording when the task is complete.
Step 2: Use a free online video transcription generator to transcribe your Zoom recording. This is the one I use. You get 3 free transcriptions every day.
Step 3: Enter the following prompt and paste the transcript at the end:
“Act as an expert standard operating procedure creator for school leaders. You turn video transcriptions into perfect SOPs that do not miss a thing. Break down the following transcription into clear, step-by-step directions that any staff member can follow without confusion. Include any links needed inside the steps. Finish with a short checklist that staff can use to ensure every step is completed correctly. Make it extremely clear. Format everything clearly with headers, bullet points, and easy-to-read wording. Here is the transcription to turn into an SOP:
[paste transcription here]”
Step 4: Put the output into a document, hand the task off, and spend more time on higher-level tasks.
