AI School Leadership Minute: Analyze Staff PD Survey Data
No more hours digging through survey spreadsheets. Here are three easy steps to analyze staff survey data with ChatGPT. (With a bonus prompt in step 4.)

Step 1: Download the mock staff survey data to try it out.
- Open this Google Sheet: Mock Staff PD Survey
- In the top left corner, click File → Download → Microsoft Excel (.xlsx)

Step 2: Upload the data into ChatGPT.
- Go to ChatGPT
- Press the “+” icon in the bottom left corner of the prompt bar
- Click "Upload from computer" and select your Excel file

Step 3: Paste this prompt in ChatGPT and send it through:
“Act as a school data analyst. Analyze the attached staff PD survey data. Break down each question and give me the most valuable insights possible for school leadership decision-making. For each survey question:
- Present a clear summary of results
- If Likert scale: calculate and explain the average, spread, and sentiment
- If multiple choice: include percentages for each option
- If short answer: summarize key themes and quote 2–3 powerful responses that represent common ideas

Once all questions are analyzed:
- Identify the top 3 overall trends or patterns across the entire survey.
- List specific actions a school leader can take based on those trends.”

Bonus Step 4: Need a Summary for the School Board? After ChatGPT gives you the analysis, use this as a follow-up prompt:
“Based on the staff PD survey analysis, create a clear, convincing summary that I can present to my school board. The goal is to show why our school should invest in high-quality AI training for staff. Highlight any themes in the data that show a desire for innovation, personalized learning, or technology support. Write the summary in clear, direct language that’s easy to read in a slide deck or board meeting packet.”
